Rhino Hotel Kyoto Terms and Conditions
Article 1 Range of application
1. The accommodation agreements concluded between this Hotel and the guests, as well as any related contracts, shall be governed by the provisions of these Terms and Conditions. Any matters not stipulated herein shall be subject to applicable laws and regulations or generally established practices.
2. Notwithstanding the provisions of the preceding paragraph, if this Hotel agrees to a special contract within the scope not contrary to laws and regulations or established practices, such special contract shall take precedence.
Article 2 Application for accommodation contract
1. A person who intends to apply for an accommodation contract with this Hotel shall notify the Hotel of the following particulars:
(1) Name of the guest(s)
(2) Date(s) of accommodation and estimated time of arrival
(3) Accommodation charges (in principle, based on the Basic Accommodation Charges listed in Appendix 1)
(4) Other particulars deemed necessary by the Hotel
2. If a guest, during the course of stay, requests to extend the stay beyond the date specified in item (2) of the preceding paragraph, such request shall be regarded as a new application for an accommodation contract at the time it is made.
Article 3 Completion of accommodation contract, etc.
1. The accommodation contract shall be deemed concluded when this Hotel accepts the application described in the preceding Article. However, this shall not apply if the Hotel proves that it has not accepted the application.
2. When the accommodation contract has been concluded in accordance with the preceding paragraph, the guest shall pay, by the date designated by the Hotel, an application deposit in an amount designated by the Hotel, up to the equivalent of the Basic Accommodation Charges for the accommodation period (not exceeding three days when the stay exceeds three days).
3. The deposit shall first be applied to the accommodation charges to be finally paid by the guest; if circumstances arise to which the provisions of Articles 6 and 18 apply, it shall then be applied in the order of penalty, indemnity, and finally, any remaining balance shall be refunded at the time of payment of the charges under Article 12.
4. If the guest fails to pay the application deposit by the date designated by the Hotel in accordance with paragraph 2, the accommodation contract shall lose its effect. However, this shall apply only if the Hotel has notified the guest of the payment due date for the deposit at the time of designating such date.
Article 4. Special agreement requiring no application fee payment
1. Notwithstanding the provisions of paragraph 2 of the preceding Article, this Hotel may agree to a special arrangement under which payment of the application deposit, after the conclusion of the contract, shall not be required.
2. In the event that the Hotel does not request payment of the application deposit referred to in paragraph 2 of the preceding Article, or does not designate the due date for payment thereof when accepting the application for an accommodation contract, such case shall be treated as if the Hotel had agreed to the special arrangement described in the preceding paragraph.
Article 5 Refusal to conclude an accommodation contract
This Hotel may refuse to conclude an accommodation contract in the following cases:
(1) When the application for accommodation is not in accordance with these Terms and Conditions.
(2) When no rooms are available due to full occupancy.
(3) When it is clearly recognized that the person intending to stay is an infectious disease carrier.
(4) When it is deemed that the person intending to stay may engage in acts contrary to laws and regulations, public order, or good morals in connection with the accommodation.
(5) When the Hotel is requested to assume a burden beyond a reasonable scope in relation to the accommodation.
(6) When accommodation cannot be provided due to natural disasters, malfunction of facilities, or other unavoidable causes.
(7) When the case falls under the provisions of Article 5 of the Kyoto Prefecture Ordinance for Enforcement of the Inns and Hotels Act.
Article 6 Right to cancel the contract of the guest
1. The guest may cancel the accommodation contract by notifying the Hotel.
2. If the guest cancels all or part of the accommodation contract for reasons attributable to the guest (except where the guest cancels the contract prior to making payment of the deposit or by the due date when the Hotel has requested such payment pursuant to Article 3, paragraph 2), the guest shall pay a cancellation charge as specified in Appendix 2. However, if the Hotel has agreed to a special arrangement under Article 4, paragraph 1, the obligation to pay a cancellation charge shall apply only when the Hotel has informed the guest of such obligation at the time of agreeing to the special arrangement.
3. If the guest does not arrive without notice by 10:00 p.m. on the scheduled day of accommodation (or two hours after the notified estimated time of arrival, if such time has been specified in advance), the Hotel may regard the accommodation contract as having been cancelled by the guest.
4. In cases where the Hotel deems the contract to have been cancelled pursuant to the preceding paragraph, if the guest proves that the failure to arrive without notice was due to non-arrival or delay of trains, airplanes, or other public transportation, or for other reasons not attributable to the guest, no cancellation charge shall be imposed under paragraph 2.
Article 7 Right to Cancel Contracts of the Hotel
1. The Hotel may cancel the accommodation contract in the following cases:
When it is recognized that the guest is likely to act, or has acted, in violation of laws and regulations, public order, or good morals in connection with the accommodation.
When it is clearly recognized that the person intending to stay is an infectious disease carrier.
When the Hotel is requested to assume a burden beyond a reasonable scope in relation to the accommodation.
When the Hotel is unable to provide accommodation due to reasons attributable to force majeure such as natural disasters.
When the case falls under the provisions of Article 5 of the Kyoto Prefecture Ordinance for Enforcement of the Inns and Hotels Act.
When the guest does not comply with the prohibitions stipulated in the Hotel’s rules of use, which are necessary for fire prevention (such as smoking in bed, tampering with fire-fighting equipment, or other prohibited acts).
2. In the event that the Hotel cancels the accommodation contract pursuant to the preceding paragraph, the guest shall not be charged for accommodation services, etc., that have not yet been provided.
Article 8 Accommodation registration
1. On the day of accommodation, the guest shall register the following particulars at the Hotel’s front desk:
(1) Name, age, gender, address, telephone number, and occupation of the guest
(2) In the case of foreign nationals: nationality, passport number, place of prior stay, place of subsequent stay, and a copy of the passport
(3) Date and scheduled time of departure
(4) Other particulars deemed necessary by the Hotel
2. If the guest intends to settle the charges prescribed in Article 12 by means other than currency, such as traveler’s checks, accommodation coupons, or credit cards, such instruments shall be presented in advance at the time of registration referred to in the preceding paragraph.
Article 9 Guest room hours of use
1. The guest may use the Hotel’s guestroom from 3:00 p.m. until 12:00 noon on the following day. However, in the case of consecutive stays, the guestroom may be used throughout the day, except on the day of arrival and the day of departure. Please note that the room may be temporarily unavailable for cleaning.
2. Notwithstanding the provisions of the preceding paragraph, the Hotel may permit the use of the guestroom outside the hours specified above. In such cases, the following additional charges shall apply:
(1) Until 2:30 p.m. — 50% of the room charge
(2) After 2:30 p.m. — 100% of the room charge
Article 10 Observance of Usage Rules
The guest shall comply with the rules of use established by the Hotel and posted within the Hotel premises.
Article 11 Business hours
1. The operating hours of the Hotel’s main facilities are as follows. Detailed hours for other facilities will be provided in the in-house pamphlet, notices posted throughout the Hotel, and the in-room service directory.

2. The above operating hours may be temporarily changed if necessary. In such cases, the Hotel will provide notice by appropriate means. Guests are requested to comply with the rules of use established by the Hotel and posted within the Hotel premises.
Article 12 Payment of fees
1. The breakdown of accommodation charges and other fees payable by the guest shall be as set forth in Appendix 1.
2. Payment of the accommodation charges and other fees under the preceding paragraph shall be made in currency or by means acceptable to the Hotel, such as traveler’s checks, accommodation coupons, or credit cards, either upon the guest’s departure or when requested by the Hotel, at the front desk.
3. Even if the Hotel has provided the guestroom and made it available for use, the accommodation charges shall still be payable if the guest voluntarily chooses not to stay.
Article 13 Responsibilities of the Hotel
1. The Hotel shall compensate for any damages caused to the guest in the performance of the accommodation contract and any related contracts, or due to non-performance thereof.
However, this shall not apply if such damages are not attributable to the Hotel.
2. The Hotel has received inspection approval from the fire authorities confirming compliance with fire safety standards, and is enrolled in the prescribed inn liability insurance to cover any eventuality of fire.
3. The Hotel’s liability with respect to accommodation begins when the guest completes registration at the Hotel’s front desk and ends when the guest vacates the guestroom upon departure.
Article 14 Handling when the contracted guest room cannot be provided
1. If the Hotel is unable to provide the guestroom agreed upon in the accommodation contract, the Hotel shall, with the guest’s consent, make every effort to arrange alternative accommodation under equivalent conditions.
2. Notwithstanding the preceding paragraph, if the Hotel is unable to arrange alternative accommodation, it shall pay the guest a compensation amount equivalent to the cancellation fee and apply it toward such compensation. However, no compensation shall be paid if the inability to provide the guestroom is due to reasons not attributable to the Hotel.
Article 15 Handling of deposited items
1. The Hotel shall compensate for any loss or damage to items, cash, or valuables deposited with the front desk by the guest, except in cases of force majeure.
2. The Hotel shall compensate for any loss or damage to items, cash, or valuables brought into the Hotel by the guest but not deposited with the front desk, if such loss or damage is caused by the Hotel’s willful misconduct or negligence.
Article 16. Storage of guest's luggage or belongings
1. If the guest’s luggage arrives at the Hotel prior to the guest’s stay, the Hotel shall be responsible for safekeeping it only if prior consent has been obtained, and shall return it to the guest upon check-in at the front desk.
2. If the guest’s luggage or personal belongings are left behind at the Hotel after check-out and the owner is identified, the Hotel shall contact the owner and request instructions. If no instructions are provided or the owner cannot be identified, the Hotel shall keep the items for seven days, including the day of discovery, and thereafter turn them over to the nearest police station.
3. The Hotel’s liability for the safekeeping of the guest’s luggage or personal belongings in the cases described in the preceding two paragraphs shall be governed by the provisions of Article [previous article number], paragraph 1, in the case of paragraph 1, and paragraph 2 of the same Article in the case of paragraph 2.
Article 17 Responsibility for Parking
When the guest uses the Hotel’s parking lot, the Hotel provides only the parking space and does not assume responsibility for managing the vehicle, regardless of whether the vehicle keys are deposited. However, if any damage occurs in connection with the management of the parking lot due to the Hotel’s willful misconduct or negligence, the Hotel shall be liable for compensation.
Article 18 Responsibilities of guests
If the Hotel suffers any damage due to the guest’s willful misconduct or negligence, the guest shall compensate the Hotel for such damage.

Notes:
The percentages above indicate the proportion of the basic accommodation charge to be collected as cancellation fees.
If the number of days for which cancellation charges are calculated is shortened, one day (the first day) of cancellation fee shall be collected regardless of the shortened period.
In the case of partial cancellation for a group (15 persons or more), no cancellation fee shall be charged for up to 10% of the total number of guests as of 10 days prior to the stay (or the date the booking was accepted if it was accepted later), rounding up any fraction.
Rhino Hotel Kyoto Facility Usage Rules
In order to ensure a safe and comfortable stay for all guests, the Hotel has established the following rules of use in accordance with Article 10 of the Accommodation Terms and Conditions. We kindly ask for your cooperation. Failure to comply may result in refusal of accommodation or use of the Hotel’s facilities in accordance with Articles 7 and 18 of the Terms, and the guest may be held liable.
1. Fire Prevention
Do not bring or use heating equipment, cooking appliances, irons, or similar items in the guestroom.
Do not smoke in areas where fire is likely to occur, particularly in beds.
Do not engage in any other acts that may cause a fire.
2. Security
When leaving the room, please ensure that doors and windows are locked.
While in the room, especially when sleeping, use the interior door lock or door guard. Do not open the door to visitors without verification. If you suspect an intruder, immediately contact the front desk (dial 9).
Please refrain from meeting visitors in the guestroom.
Guests not registered for accommodation are strictly prohibited from staying.
Cash and valuables must be deposited at the front desk on the 2nd floor. The Hotel shall compensate for any loss or damage caused by willful misconduct or negligence if items are not deposited.
When using applications on the in-room smart TV, ensure you log out and delete all personal data. Do not retain login information. The Hotel shall not be responsible for any damages resulting from personal information leakage.
3. Payment
Charges shall be paid in cash or by traveler’s checks or coupons accepted by the Hotel, every five days. If the amount exceeds ¥100,000 within five days, or if requested by the Hotel, payment must be made at the front desk.
For charges incurred at Hotel-operated restaurants or bars on a signature basis, please present your room key or the information card provided at check-in.
A deposit may be requested upon arrival.
Payment by checks other than traveler’s checks, or currency exchange, is not accepted.
The Hotel does not advance payment for store purchases, train tickets, taxis, postage, or baggage transport.
4. Prohibited Acts
Do not bring items that may disturb other guests, including animals (dogs, cats, birds, etc.), flammable or explosive materials, foul-smelling items, or items prohibited by law.
Do not engage in gambling, acts disturbing public order, or behavior that inconveniences other guests.
Do not use Hotel facilities or equipment for purposes other than intended, or alter their condition.
Do not use guestrooms for business or other purposes without Hotel permission.
Do not distribute advertisements, promotional materials, or sell goods without Hotel permission.
Do not leave personal belongings in hallways or lobbies.
Do not wear yukata or slippers outside the guestroom in hallways or lobbies.
Guests under 18 may not stay alone without a consent form from a legal guardian submitted before check-in (form available on the official website).
Guests shall compensate for any damage, contamination, or loss of buildings, equipment, or other items, except in cases of force majeure.
Smoking, including e-cigarettes, in non-smoking rooms is prohibited. If smoking is confirmed, a penalty of ¥50,000 will be charged. Smoking in hallways or lobbies is also prohibited.
